Online Rental Property Manager: Managing applicants/tenants
When a potential customer shows interest in one or more of the available units in your properties, you can fill an application for him/her, where you can add his/her personal data, employment and income history, residence and rental history, and references. S/He is now an applicant awaiting approval. Once his/her application is approved, s/he becomes a tenant.
Under the tenant page you'll find the tenants personal details and the status (applicant or tenant). An applicant is someone who is applying for a lease. After being approved, the applicant is now a tenant, and the status of the unit he applied for should be set to "occupied".
Simply add all the details of the applicants/tenants including personal, residential, rental, income and any other details.
Under tenant personal information you will find four tabs that presents applicants/leases, residence and rental history, employment and income history and references.
Applications/leases tab
Under the applications/leases tab you'll find a list of all applications and leases assigned to this tenant.
To add a new application, click the "Add New" button and fill in the form.
To edit an existing record, click the button to the left of the record. A popover window will appear showing all fields of the selected record, allowing you to edit or delete entries.
Fill in the application form for your applicants/tenants, indicating the current application status, property and unit applied for, lease type, lease start and end date, recurring charges frequency, upcoming due date, rental amount, security deposit, emergency contact, co-signer details and any extra notes. Finally the applicant/tenant must agree to the application terms mentioned.
When you fill in an application form for a potential customer to apply for a lease, set the application status as "application". Once the application is approved, set it to "lease". When the lease expires or is terminated, set it to "Historical lease".
Residence and rental history tab
Under the residence and rental history tab you can add/edit records of previous residences this tenant has occupied.
Residence and rental history form includes the tenant full name, address, landlord/manager name and phone number, monthly rent, duration of residency, reason for leaving and any extra notes.
Employment and income history
Recording the employment and income history of the applicant allows you determine his financial state.
Under the employment and income history tab you can add/edit posts the applicant/tenant has previously occupied.
The detail view displays several data of the last post the applicant/tenant has occupied, its duration, location, monthly gross pay and any other notes.
References
Under the reference tab you can add/edit names and phone numbers that the applicant/tenant chose to be her/his reference.
